Topic: Troubleshooting & Bug Reports / Problem with Deposit Invoices in past projects After implementing the deposit invoice feature, now I have two NEW “deposit invoices” that are marked as UNPAID even though these were taken care of long ago. This new feature has broken two accounts and I have no idea how to fix them. |

Topic: Troubleshooting & Bug Reports / Mileage in Expenses? I was wondering if there is any way to include mileage amounts in Expenses. As far as I can tell, I can enter items either as time (tasks) or currency amounts (expenses). However, I use the mileage system for my travel expenses, and I can’t figure out how to add that. Any ideas? |

Topic: Troubleshooting & Bug Reports / Strange invoice ordering behavior Seth, thanks for your reply. Although it might seem to be optimal to order invoices by due date, what happens is that all the invoices that I prepare on a particular day end up being listed in reverse of the order of the invoice numbers. So I end up with an invoice list like this: 0023 0024 0025 0026 0019 0020 0021 0022… and it makes me crazy. So if at some point you can enable column sorting that would make me very happy :-D |

Topic: Troubleshooting & Bug Reports / Strange invoice ordering behavior When I look at a list of my invoices, or generate a report of invoices, there doesn’t seem to be any rhyme or reason to how the invoices are ordered. I can create 5 invoices on one day yet when they show up in a list they are all mixed up, and aren’t ordered by invoice number nor by client. Furthermore, there’s no way to sort the list by either invoice number or by client. It’s really difficult to check these lists against my spreadsheets with this chaotic behavior. How are invoice lists ordered? |

Topic: Announcements / Cashboard v2 (aka Expenses in progress) Will you be adding the ability to add sales or other taxes to expense items, and to keep track of the taxes? For example, if I buy an item at wholesale (tax exempt), I’m required to collect sales tax when I bill my client for the item, and report all sales tax collected at the end of the year. (I live in Washington State.) For my business this scenario doesn’t happen very often, but for other businesses the ability to track taxes separately would be essential. |

Topic: Random / Unpaid Invoices? Seth, I brought this topic up in February. I still think there needs to be a way to mark an invoice as uncollectable. Simply zeroing out the invoice keeps it in the Income balance, when in reality it is Bad Debt and can be deducted. |

Topic: Troubleshooting & Bug Reports / Invoice reminders not working properly When I created my last several invoices I made sure that I had the reminder set at 30 days. However, all these clients received reminders at 14 days. Somehow the system is using a setting for an invoice I created two months ago when I set the reminder date at 14 days. I would prefer that this to be a global setting I can access from my Account Preferences page. As it is now I really don’t seem to have any control over when reminders are being sent. I don’t want to delete the time or the client. “Bad debt” is direct write-off on my taxes and I need to keep a record of it. So the negative line item looks like the way to go for now. However, bad debt is a bookkeeping status in its own right so it would be good to have this available as an option and have it show up in reports as such. |

Topic: Announcements / Sending Estimates / Invoices to individuals, not companies I would also like to be able to invoice individuals rather than companies. I haven’t yet had a situation of needing to apply one person to two companies, but I can see the advantage of that flexibility. |

Topic: Troubleshooting & Bug Reports / Better coordination between estimates and projects? Greetings, I would like there to a better connection between an estimate and its project. If my projects never changed in scope, there’d be nothing to fix ;-) but as it is, projects change over time and I often need to modify an estimate for a client. If I add a task to a project I have no way to “import” it back to the original estimate. If I add the new task to a project and bill time for it, then I can’t add it to the estimate without having a duplicate task show up in the project. If I create a new estimate I can’t attach it to a current project, so I can’t re-estimate an existing project. These limitations make Estimates to be too inflexible for most of my projects. What I’d like is to be able to do is this: 1. Import a single task from a Project into an existing Estimate, whether it’s had billable time attached to it or not. 2. Create a new Estimate and attach it to an existing Project—so I can have Project X with “Estimate 1” and “Estimate 2” OR “Estimate 1-Revised.” Along similar lines, In the Project page, the sidebar reads: “Estimating time for tasks not on an estimate You can still estimate time for tasks that don’t belong to your original estimate. We track what you originally estimated verses what you’ve added and will generate a pretty report for you.” I can’t find this ‘pretty report’ anywhere. Where is it? |

Topic: Troubleshooting & Bug Reports / What happens when I delete a project? I have several little jobs that are completed but are still on my active project list. These are with clients that I work for only occasionally, or maybe just for a one-off job. If I want to delete the project rather than just close it, does that wipe out the payment records associated with that job? I’d like to tidy things up a bit but I don’t want to mess up my accounting. Thanks! |

Topic: Tips & Tricks / Project Expenses - How do you track? I’m thinking along the lines of tracking expenses that I will bill directly to the client, and which will eventually end up as line items on the invoice. Now, I have to record those expenses elsewhere and remember to add them to the invoice at the end of the billing period. How about this… on the Project page, could there be a new tab called Expenses, which includes the Add New Line Item box from the Invoice. This is where I’d enter expenses incurred for a project. Could this be adapted to also allow for tracking expenses not directly billed to the client? Perhaps a checkbox that would indicate whether or not the item was billable. Tracking billable vs. non-billable expenses would be more complicated, or course. |

Topic: Troubleshooting & Bug Reports / Payment recieved email? Seth, Thanks for letting me know about sending the email. However, in this case I recorded the payment by clicking on the “apply payments” link from the actual invoice itself. This link brings up a popup where I can include the date and amount of the payment, but there’s no place in this popup window to send an email to the client. Now that I know about the procedure you describe, I’ll record payments this way from now on—but it might be good to have the link available from the payment popup window as well, just for consistency’s sake. Thanks again! |

Topic: Troubleshooting & Bug Reports / Widget issue in XP Yesterday the widget stopped working again. This morning I tried a few different things, and I found that when I selected the same task as I had logged previously, the widget didn’t respond—but if I chose a new task, there was no problem logging time. edit: What I mean is, when I click the Log Time button and the widget loads the tasks, if I don’t explicitly click on a task but just accept it as the task I want, the time won’t log. But if I click on the task to select it-even if I don’t change the task-the time is logged. Once I “reset” the widget this way, I had no further problems. I’ll let you know if I run into this again. |

Topic: Troubleshooting & Bug Reports / Sending invoices manually I’d like to add a vote for snail mail option. I like to mail a hard copy to my clients because I’ve found it’s less likely to get overlooked, especially as some of my clients just don’t use email much and aren’t used to paying bills that way. I can also hand-write a simple “Thanks for your business” as a personal touch. Thanks! |
